Job Description

Our Surf Life Saving Club is currently seeking an energetic, friendly and capable person to support our club in the position of Lifesaving Club Administrator Assistant. 

This part time position is approximately 15-20-25?hours per week with the workload requiring some flexibility throughout seasonal busy periods and limited weekend and outside hours work from time to time. The ideal candidate is an experienced office administrator, fast learner and a team player who is willing to work with a diverse team to support the club in achieving its goals. 

The position requires a self-motivated person with strong computer and organisational skills as this role is the primary contact for all administrative enquiries across all functions of the surf lifesaving club. A welcoming professional manner will also be essential as this role includes interactions with the public, members, state and national bodies. This effective communication is integral for the operational readiness and longevity of the club. 

 

Responsibilities of the Club Office Assistant include: 

  • Managing club communications (internal & external correspondence) 

  • Maintaining a membership database of all members including data entry & membership processing 

  • Managing and maintaining club documents and online system 

  • Office and volunteer management 

  • Supporting the Office Manager and Board and club committees 

  • General office administrative duties including minute taking, preparing agendas, banking, answering phone calls, emails, filing, compiling reports and copywriting 

  • Other duties as requested by the Executive or Board.

Essential Skills 

  • High level of administration and office management experience 

  • Able to communicate effectively with strong interpersonal skills 

  • Able to troubleshoot, organise and delegate tasks 

  • Self-motivated, well organised and able to work effectively while unsupervised 

  • Highly proficient in the use of Microsoft 365 and ability to adapt to new software and systems. 

  • Proficiency and accuracy in data entry and reporting. 

  • Fast and accurate typing 60+ wpm (excellent literacy and grammar) 

  • Exceptional time management, organisational, verbal & written communication skills and attention to detail. 

  • Experience working in a volunteer centred environment 

Desirable Skills 

  • Minimum of 3 years in a similar role. 

  • HR, finance, governance & compliance?and/or legal experience. 

  • A background within Surf life Saving and or understanding of surf lifesaving operations 

  • Awareness of information flow?and the needs of different areas throughout a surf club 

  • Experience with the SLSA Surfguard membership database and other SLSA digital systems and tools 

  • Familiarity with website administration and digital marketing platforms.
